Registration and Admission of Students
Background
The focus of Valhalla Community School is to provide a readiness for leadership by equipping rural students with both knowledge and skills necessary for success in a rapidly changing economy in the communities they serve.
The Board believes every student can be successful in VCS and should have the opportunity to learn about the knowledge, skills and attitudes to become well-educated and engaged citizens, with strong ethical, civic and democratic standards who are committed to their families, school,
community, province and country.
The school’s admissions procedures shall be structured and administered so as to respect procedural fairness. The principal may exercise discretion in the placement of students to promote the best interests of the school. Identification and admissions procedures shall comply with provincial legislation, shall be in alignment with the Charter of VCS, and shall be clearly communicated to parents of prospective
students.
Procedures
1. The principal in consultation with the Superintendent shall identify the number and grade
level(s) of new students to be admitted on an annual basis.
2. Parents of all applicants are strongly encouraged to read material presented on VCS’s
website to obtain general information about charter schools and specific information about the
school’s program and teaching methodology.
Application Process and Requirements
3. The application window for each school year is open year-round and remains open until all
available positions are filled.
4. Parents are required to complete an online application form obtained from the school’s
website or an application in person.
4.1 Parents are required to share all known requested information regarding the suitability
of their children for the school’s program, including any pre-existing and/or diagnosed
medical, social-emotional and/or educational needs. Failure to disclose, or submitting
false information, may result in application cancellation.
4.2 Incomplete applications will not be considered.
4.3 All applications (including supporting documentation) will be reviewed prior to
admission to determine program suitability.
4.4 Applications received after September 30 will be reviewed at the discretion of the principal.
Sibling Status
5. A child who has a brother or sister attending VCS for at least one full academic year, will be
granted sibling status.
6. A child of a current, permanent staff member will be granted sibling status. Their application date is the date they submitted their waitlist application. Employees who resign their position at VCS will no longer continue to have sibling status for their children on the waitlist. This does not apply during an approved leave of absence or maternity leave but would apply in the event of a resignation at the conclusion of the leave.
7. Once a student leaves VCS, their siblings will be eligible for sibling status for the following academic year only.
Waitlist
8. When the number of students applying for new admission to the school is greater than the number of available positions, placement will be offered to the students based on pre-registration date.
9. Available positions will be filled from the list of prospective students via the waitlist.
10. Siblings will be given priority.
11. Only students who meet the criteria stated in the application requirements will be considered
in the pre-registration waitlist.
Communications
12. All application communication from the school will be via email. Parents are responsible for advising the school of changes to their email address.
13. The school administration will advise the parents of prospective students of the results of a successful spot. Parents will be given one week in which to accept the placement offer, decline
the placement offer, or remain on the application list.
13.1 In September, parents/guardians will need to accept the placement within 24 hours of the offer to move to the registration process to confirm their child’s attendance at VCS.
14. The principal (or designate) is responsible for the management of a list of prospective students at each grade level.
15. Parents will be required to update the student’s application each year.
General
16. Any attempt on behalf of an applicant to influence the impartiality of the selection process will result in disqualification of the applicant.
17. Appeals of student admission decisions must be submitted in writing to the school principal within seven (7) calendar days of being notified of the lottery decision and must set out the specific nature of the appeal. Admission appeals will be reviewed by the Superintendent. The
decision of the Superintendent shall be considered final.
