Administrative Procedure 544
FACILITIES MAINTENANCE
Background
The Charter Board has a responsibility to protect the community’s capital investment in the School facility by ensuring the building is adequately maintained. In a leased facility, the owner has the primary responsibility for maintaining the facility in a condition that is suitable as a safe and appropriate environment for students and staff. However, the School plays a role in advising the Leasor of any facility issues, needed maintenance, or desirable enhancements.
Procedures
1. The Charter Board expects that the School building will be well maintained at a level consistent with provincial code requirements.
2. The Secretary-Treasurer will periodically evaluate the physical condition of the School and identify both deficiencies and desired enhancements. This information will be shared with the Valhalla Heritage Society for incorporation into their facility maintenance management plan.
3. Each year, as part of the operational planning and budgeting process, the Secretary-Treasurer will prioritize facility maintenance projects for which the Charter Board may receive funding.
4. The School building maintenance program will include working cooperatively with the Valhalla Heritage Society to complete:
4.1 Minor maintenance and repairs that are conducted on an ongoing basis.
4.2 Scheduled maintenance including such items as servicing air handling systems and furnaces, etc.
4.3 Major scheduled maintenance activities such as painting, renovations not funded under IMR/CMR, etc. and therefore considered as included in the lease funding. Major maintenance and repair projects are the responsibility of the Valhalla Heritage Society which is responsible for meeting building code requirements.
5. The Secretary-Treasurer is responsible for cooperating with the Valhalla Heritage Society in developing and implementing the building’s maintenance program.
