INFORMATION TECHNOLOGY USE
Background
The Charter Board supports the responsible and appropriate use of computers, networks, email and other forms of information technology to provide enhanced learning opportunities, and for business activities required in the operation of the School.
Procedures
1. The purpose of providing access to the School’s information technology is to promote student learning, enhance teaching practice, and support efficient, effective business operations.
2. Access to the School’s information technology services must be authorized by the Principal or Superintendent and every user must agree to abide by the terms and conditions of acceptable use as set out in the Acceptable Use of Technology Agreement appendix to this Administrative Procedure. The Principal may determine the grade level appropriateness for students to sign this form.
3. Failure to abide by the Acceptable Use of Technology Agreement may result in the loss of access for the user and other disciplinary actions consistent with the Act or Charter Board Policy.
4. The Principal shall determine what constitutes acceptable or unacceptable use of the School’s information technology services with respect to students and school-based staff. The Principal shall inform the Superintendent of decisions in this regard.
5. The Superintendent shall determine what constitutes acceptable or unacceptable use with respect to administrative personnel.
6. The Charter Board shall determine what constitutes acceptable or unacceptable use relative to the Charter Board members and the Superintendent.
7. Unacceptable use of the School’s information technology by staff may result in a loss of access for the user and other disciplinary actions up to and including termination of employment.
8. Personal use of the School’s information technologies is permitted but discouraged and shall not interfere, conflict with work purposes, inhibit or hinder a staff member’s obligations to use School resources, including time, in pursuit of VCS related duties and responsibilities. Staff are strongly advised to separate their personal use of technology from work related use of technology. For example, an assigned VCS email provided for work purposes should be reserved for work purposes and personal email should not be used for work related communications.
9. Staff are advised that there is no expectation of privacy for use of School internet services whether accessed on work related technology, devices, software, email, or any other, including personal, technology devices.
10. All use of the School’s information technology is subject to monitoring and search by persons authorized by the Charter Board whenever monitoring is required for operational needs or where there are reasonable grounds to suspect misuse or noncompliance with this Administrative Procedure.

ACCEPTABLE USE OF TECHNOLOGY
AGREEMENT
Background
The Charter Board supports the responsible use of technology and digital tools to enhance teaching and learning as well as
the operational processes of the School. Therefore all staff are eligible for network services. Various technology devices, digital
tools and services include hardware, e-mail, and digital collaboration access to cloud-based services for documents and other
educational activities. Depending on role responsibilities, staff may be provided access to business-related services.
Procedures
1. The Code of Conduct applies to all users of the School’s network services and digital technologies. All users of the
School’s technology services must provide signed consent and agreement to abide by the Acceptable Use of
Technology Agreement before access is provided to network services.
2. Teachers are responsible for ensuring students are adequately prepared and versed in acceptable Digital Citizenship
practices for appropriate access to hardware, online tools, and digital learning environments. Teachers are expected
to be keen observers of student use of technology devices and services so that students engage in responsible online
behaviour that does not place them at risk nor interfere with appropriate use of technology by others.
3. Despite Canada’s Anti-Spam Law and the School’s efforts to block offensive, inappropriate, suggestive, or otherwise
obnoxious email (SPAM), unwanted and/or offensive messages may intrude on staff and/or students. Users are
expected to report any concerns to the supervisor, Principal or Superintendent.
4. Teachers are advised to be very cautious about providing any personal information via email or social media sites
and vigilant in alerting students to the dangers inherent in sharing personal information via electronic means.
5. All non-student users of School technology services are required to complete the following application and agreement
for access VCS technology services. The Principal may determine the age-appropriateness for students to sign the
Agreement.
6. To obtain an account within the School network services, the Code of Conduct and related School procedures or Charter
Board policies around acceptable behaviour need to be reviewed and understood by each user. The following signed
application is required as part of this agreement and remains in effect during present and future employment with the Charter Board.
Technology Use Agreement
Please read carefully.
I understand that I am applying to access the School’s technology, including internet services. Access may include hardware and software provided by the School, an email account, a cloud-based Google account and /or a Server account.
Where appropriate, I may be provided access to digital services such as the Student Record System, the Provincial Education Directory, Alberta Education’s Extranet, PASI, SharePoint as well as other digital services. I agree to use these services only as they relate to my work role responsibilities.
I understand that access is based on my role responsibilities during my employment, or volunteer services, with Valhalla Community School.
I understand that my username and password credentials must be kept secure at all times. If at any time my credentials are compromised or there is a suspicion of compromise, I will notify my immediate supervisor, the Principal or the Superintendent to have new credentials issued to me.
I understand that I may have access, even administrative control, over accounts that are part of the operations of VCS. This includes, but is not limited to, student records, various business-related services and accounts, or other electronic records that are the property of the School. I recognize my responsibility to treat these accounts as confidential and to ensure that access is passed to my successor without disrupting the business operations of the School.
To that end, I will keep a record of all VCS accounts over which I have been authorized by my supervisor to hold administrative control. The record will provide the account name and number as well as the username and password(s) needed for access. The record will be sealed and provided in hard copy to the Principal and/or Superintendent to secure on behalf of the School. This ensures that business operations are not disrupted nor compromised when staff changes occur.
I will not establish any aliases or shadow email addresses in connection to the email assigned to me by the School as an authorised user of the School’s technology services. I acknowledge that any documents stored in the Drive associated with my School issued email is property of the School and shall not be deleted or destroyed without my supervisor’s written consent.
I acknowledge that the Superintendent (or Board Chair) may at any time request that I provide the account names, numbers, usernames and passwords for any accounts they deem essential to the operations of VCS. Withholding of this information interrupts the operations of the School and may be prosecuted to the fullest extent of the law. Any efforts to delete and/or shred documents that are work-related and thus property of VCS may be prosecuted.
I have read and understand the Acceptable Use of Technology Agreement and acknowledge that it applies to me. I understand my responsibilities as a digital citizen in ensuring that I act responsibly when using hardware and digital resources provided by the School. I agree to abide by the terms of this Agreement. I agree to abide by the administrative procedures and Charter Board policies, including the Code of Conduct, which are pertinent to the operations of the School.

This signed agreement is in effect until the Superintendent or designate determines that the Agreement is no longer valid or applicable as the individual has fully complied both during and following their access to the Technology Services of Valhalla Community School. The Agreement will be in effect until such determination is made within one year from the date when enrolment, volunteerism, or employment, including contractor services, has terminated.
